Enterprise Content and Document Management
Manage Information. Secure Content. Power AI with Trusted Enterprise Knowledge.

Enterprise Content and Document Management

Organizations generate contracts, invoices, technical drawings, customer and employee files, correspondence, forms, images, records, and other digital content every day. These assets are important sources of enterprise knowledge. However, when content is scattered across file servers, user devices, email inboxes, business applications, and physical archives, access to accurate information can slow down, duplicate documents can proliferate, and security, compliance, and business continuity risks can arise.

BBS positions IBM and OpenText enterprise content management solutions in line with each organization's business objectives, security policies, regulatory requirements, and existing technology infrastructure. BBS enables the entire content lifecycle to be managed—from document creation and classification to use within business processes, secure sharing, retention, archiving, and controlled disposition.

Supported by AI-powered search, content classification, metadata generation, document summarization, secure redaction, intelligent archiving, and enterprise application integrations, this approach helps employees access the right information at the right time and enables organizations to build their AI investments on trusted content.

Why Is Enterprise Content Management Essential?

Traditional file-sharing methods are not sufficient for managing continuously growing enterprise content in a secure and auditable manner. Sharing documents by email, storing multiple copies in different folders, and being unable to identify the current version reduce operational efficiency. Security and compliance risks also increase when organizations cannot track who viewed, modified, or shared information.

With enterprise content and document management solutions:
  • Documents and digital content can be stored in a centralized and controlled environment.
  • Users can quickly access the current and valid version of a document.
  • Content can be found through metadata, full-text, and semantic search capabilities.
  • Document access can be restricted by user, role, group, content class, and business context.
  • Review, approval, publishing, redaction, and archiving processes can be automated.
  • Retention, legal hold, archiving, and controlled disposition policies can be applied.
  • Document activity, user actions, and AI interactions can be audited.
  • Content can be connected to SAP, CRM, Microsoft 365, and other enterprise applications.
  • Enterprise knowledge can be prepared for AI applications within a trusted and governed framework.

An AI Ready and Governed Content Foundation

Reliable outcomes from enterprise AI applications depend on content that is accurate, current, classified, context-aware, and protected by access controls. Simply transferring content to a language model is not enough. Source reliability, user permissions, retention rules, audit trails, and the lifecycle of AI-generated derivative data must be managed together.

BBS's content management approach prioritizes the preservation of security and governance policies when making enterprise content available to AI. Users can therefore search, summarize, compare, or act only on information they are authorized to access. AI-enabled use cases are positioned not as a separate structure independent of content management policies, but as a controlled component of the enterprise information architecture.

IBM Content Cortex

The next generation of IBM FileNet Content Manager
IBM Content Cortex is a next-generation content services platform that extends the proven enterprise content management foundation of IBM FileNet Content Manager with AI services, managed content agents, and intelligent archiving capabilities. In the new product line beginning with version 26.0.0, IBM renamed FileNet Content Manager as IBM Content Cortex.

The platform centrally manages documents, images, emails, forms, records, and other unstructured content in a scalable architecture. It supports high-volume, business-critical content applications with fine-grained access control, records and retention management, audit trails, workflows, enterprise application integrations, and hybrid deployment options.

For existing IBM FileNet Content Manager customers, Content Cortex represents the modernization path for their FileNet investments rather than a separate and unrelated platform. Existing FileNet versions continue to be used under their current names and support lifecycles, while the new product name appears as IBM Content Cortex in environments upgraded to the 26.x product line.

Trusted Content AI with Content Cortex AI Services
Content Cortex AI Services help employees ask natural-language questions about documents, summarize document collections, classify content, and perform controlled document operations. AI agents are not independent tools operating outside the content lifecycle; they work within access permissions, retention rules, and audit records.

Agent recommendations can be presented to users for actions such as redaction, legal hold, classification, and filing, with human approval required before changes are applied. This approach helps preserve enterprise control and explainability while making use of AI.

Use Cases
IBM Content Cortex can be used to manage customer and employee files, contracts, loan and claims documents, technical documents, procurement files, project documentation, corporate correspondence, official records, long-term archives, and regulated content. It also provides a strong foundation for modernizing existing FileNet environments, bringing multiple content repositories under common governance, and introducing AI into content-intensive operations.

OpenText Content Management

Integrate content with business processes and enterprise applications

OpenText Content Management, formerly and widely known as Extended ECM, is a flexible, cloud-ready enterprise content management solution that connects enterprise content with the applications and business processes employees use.

The solution brings documents, data, users, and tasks together within a defined business context such as a project, customer, contract, supplier, employee, asset, or case. Employees can therefore access the content they need directly from the enterprise application in which they are working instead of searching in a separate document management application.

Featured Capabilities
  • Centralized document, records, and enterprise content management
  • Document versioning, editing, annotation, publishing, and secure sharing
  • Workspaces centered on projects, customers, contracts, employees, or cases
  • Metadata, full-text, and AI-assisted information access
  • Workflow, task, and document-generation automation
  • Retention, legal hold, auditing, and information governance
  • Mobile access and team collaboration
  • Delivery of content within enterprise applications and business processes

Enterprise Application Integrations
OpenText Content Management can integrate with SAP, SAP SuccessFactors, Salesforce, Microsoft 365, Microsoft Dynamics 365, Guidewire, and other enterprise systems. Quotations, purchase orders, delivery notes, and invoices associated with an SAP procurement record can be managed in the same workspace; Salesforce customer records can be linked to contracts, proposals, correspondence, and other customer documents.

These integrations reduce content silos, shorten the time employees spend searching for information, and extend content governance into everyday work environments.
