The Office 365 migration project carried out by Kahve Dünyası in partnership with Bilgi Birikim Sistemleri has been successfully completed.
About Kahve Dünyası
Kahve Dünyası opened its first store in Eminönü in 2004. With its customer-oriented approach, friendly service reflecting Turkish hospitality, and culture of hospitality and service, it quickly became a brand recommended by people to each other through word of mouth.
Since its establishment, it has shown a rapid growth trend and currently serves in many provinces of Turkey, as well as in the UK and Romania. It operates its business in these countries by itself and does not franchise. It only offers franchising through Master franchise in Arab countries. These sales points are categorized into three main categories: stores, corners, and metro kiosks. As of June 2017, it serves at a total of 200 sales points.
Project Objectives
Reducing the administrative and maintenance costs of growing infrastructure needs in line with the company's evolving structure,
Minimizing efforts and costs for backup and disaster scenarios,
Transferring data from the disks on Exchange and Skype for Business servers, which put a serious load on the disks, to the cloud and utilizing disk space more efficiently,
Eliminating problems arising from capacity inadequacy in the email service.
What Solution Did We Provide?
As a result of meetings with Kahve Dünyası's Information Systems Manager Ebru Sonay Boriş, Information Systems Officer Atınç Güldelen, and the BS team, the problems in the existing Exchange and Skype for Business structures were identified to ensure a more stable operation of the system. While the communication provided by Exchange and Skype for Business needs to continue uninterrupted 24/7, the aim was also to reduce the costs required to create such a structure. Additionally, a system that automatically supports updates or version upgrades on all devices was sought. The management and backup processes of internally hosted Exchange and Skype for Business servers were creating extra costs and hindering the IT team's quality time management, reducing productivity.
Following the discussions and evaluations, Kahve Dünyası decided to use Office 365 technology to ensure communication and information flow, including stores distributed throughout Turkey.
The internally hosted Exchange and Skype for Business structure at Kahve Dünyası was transferred to Office 365 using Cutover Migration. In this way, the on-premise structure causing management and stability problems for the company was completely eliminated.
The Achievement of the Project
As a result of the project carried out with Kahve Dünyası, users can now access their 50GB capacity emails, including all past emails, from their mobile phones, tablets, and anywhere with internet access. The reporting interface and mail archiving of Office 365, which are practical and successful interfaces, have also been started to be used. Thanks to the easy management console of Exchange, which can be accessed from anywhere with internet access, mail operations have become much easier for the IT team. The satisfaction in the field of mail archiving is also emphasized by the company. Emails accidentally or intentionally deleted by users can now be recovered with a single click. Threats and security risks on the mail system have been optimized. The IT team at Kahve Dünyası experience the convenience of managing services such as Exchange and Skype for Business on a single screen, as well as the confidence that Microsoft engineers will provide rapid support in case of any problems.
